Voice Mail

Voice Mail is a centralized, computerized answering system. Each residential room is provided with voice mail service. When you use voice mail, you will be asked for a mailbox number. Mailbox numbers are the last five digits of your telephone number.

The voice mail system has many options. An automated attendant guides you through them and offers suggestions. You do not need to memorize how to operate voice mail. As you become more familiar with the options, you can make the prompts shorter and/or interrupt the automated attendant by pressing the appropriate button when the attendant is speaking.

Voice Mail Specifications

Permitted personal greeting length: 30 seconds
Permitted length for messages received: 1 minute
Maximum number of messages allowed: 20
Permitted number of future delivery messages per box: 5
Number of days new messages are kept: 5 days
Number of days saved messages are kept: 5 days

Initializing

To use voice mail, you must initialize it when you move into your room.

  1. Dial 6-2000 from your residential telephone.
  2. Listen to the instructions provided by the automated attendant.
  3. Enter your initial password, which is your full 7-digit phone number (546-xxxx).
  4. Follow the instructions for changing your password, recording your name and greeting. Passwords must be at least six digits long and cannot begin with a zero.

You must change the password to ensure privacy for you and your roommate(s). There is only one voice mailbox for each telephone, so you must share the service and the password with your roommate(s). When you initialize or change the password, be sure to give the new password to others sharing your phone.

When recording your names, use your first and last name and those of your roommate(s). Failure to do so could result in Residential Telecom recording your names for you. Please note that if the university finds offensive language or sounds on your voice mail, your box may be removed from the system.

Resetting

If you forget your password or move to a new room where a previous occupant's voice mail remains on the telephone, please contact Residential Telecom, 545-2103 for assistance.

Turning Voice Mail On and Off

Voice mail can be turned on or off only from your telephone. You should activate the automatic diversion to voice mail when you move into your room.

Automatic Diversion to Voice Mail After 4 Rings:

When activated, calls will be diverted to voice mail after four rings.

To activate:
With the telephone receiver off the hook, press [*], [2], [1], [#].

To deactivate:
With the telephone receiver off the hook, press [#], [2], [1], [#].

Immediate Diversion to Voice Mail:

If you activate this function, all calls will be diverted to voice mail and your phone will not ring.

To activate:
With the telephone receiver off the hook, press [*], [2], [*], 6-2000, [#].

To deactivate:
With the telephone receiver off the hook, press [#], [2], [#].

Retrieving Messages

On-Campus

If you are in your room or campus apartment and have a stutter dial tone, you have new voice mail. To access your voice mail from on campus:

  • From your campus phone, dial 6-2000. Be ready to enter your password.
  • From a campus phone other than your own, dial 6-2000. If the phone has an active voice mailbox (you will hear the recorded name), press [*], otherwise press [#]. Be ready to enter your mailbox number and password.

Off-Campus

To access your voice mail from off campus:

  • From a local phone, dial 546-2000; from outside the local calling area, dial 1-413-546-2000.
  • After you hear the introduction, press [#]. Be ready to enter your mailbox number and password.

Leaving Messages Directly

If you are in the voice mail system, you can send a message to someone with voice mail on the system. Remember the mailbox number is the last five digits of the telephone number you are calling.

To send a message:

  1. Press [2] to record the message.
  2. When you have finished recording, press [#].
  3. Enter the destination mailbox number.
  4. To send the message, press [#].

Before sending the message, you can press [0] to hear delivery options:

  • Private Message, press [1].
  • Urgent Message, press [2].
  • Confirmation of the Message, press [3].
    - To receive notification that your message has been received, press [1].
    - To receive notification if your message has not been received after a five-day period, press [2].
  • Future Delivery, press [4]. You can set the date and time when you would like the message placed in the designated voice mailbox. You can schedule up to 60 days prior to delivery.
    - If delivery is within the week, press [2].
    - If delivery is more than a week away, press [1].

Options

Fast Forward

  • To fast forward a message 10 seconds, press [3].
  • To fast forward to the end of a message, press [3], [3].

Rewind

  • To rewind a message 10 seconds, press [1].
  • To rewind to the beginning of a message, press [1], [1].

Speed Up

  • To increase the speed of a message, press [6].
  • Press [6] again to further increase the speed.

Slow Down

  • To decrease the speed of the message, press [4].
  • Press [4] again to further reduce the speed.

Pause

  • To pause the message for 30 seconds, press [2].
  • To continue to pause after the 30 seconds have expired, press [2], [2].
  • To restart the message, press [2] again.

Volume

  • While listening to a message, press [9] to make it louder.
  • To return your voice mail to its normal volume, while listening to a message, press [8].

Caller Information

  • To receive information regarding the time of the call, the length of the call, and the mailbox number of the caller if he/she also has voice mail, press [5] while listening to the message or after you have heard it.

Replay

  • Press [4] to replay the last message you listened to.

Copy

  • To send a copy of a message you receive to another person who has voice mail, press [6] after hearing the message.
  • After you record your introduction, press [#] for information on how to proceed.

Reply

  • If you receive a message from someone with voice mail, you can reply by pressing [8] after hearing the message.

Erase

  • To erase a message after you have listened to it, press [7]. Erasing messages creates room for you to receive new messages. The system allows a maximum of 20 total new and saved messages.

Save

  • To save a message you have received, press [9]. The message will be saved for five days or until you erase it.

Cancel

  • To cancel a selection or to return to a previous menu, press [*].

These options are available from the main menu of your voice mailbox. See the Voice Mail Reference Sheet* for more details.

Record Greeting

To record a personal greeting or to change your existing greeting, use the following options:

  1. Press [4] (Personal Options)
  2. Press [3] (Greeting)
  3. Press [1] (Personal Greeting)

Record Name

To record your name or to change your existing name, use the following options:

  1. Press [4] (Personal Options)
  2. Press [3] (Greeting)
  3. Press [3] (Name)

Extended Absence Greeting

You might use this option when you know you will be away for a while and do not want messages left. Messages cannot be left in your voice mailbox when your extended absence greeting is activated.

To install an extended absence greeting:

  1. Press [4] (Personal Options)
  2. Press [3] (Greetings)
  3. Press [2] (Extended Absence)

To listen to or turn off your extended absence greeting:

  1. Hang up and redial 6-2000. Enter your mailbox number and password.
  2. Press [0] to hear your extended absence message.
  3. Press [1] to keep your extended absence greeting.
  4. Press [2] to delete your extended absence greeting.

Prompt Level

To change your prompt level:

  1. Press [4] (Personal Options)
  2. Press [2] (Administrative Options)
  3. Press [3] (Change Prompt Level)

Prompt level alters the number of options that you hear and the length of each prompt. You can change the length of the attendant's prompts to standard, extended, or rapid versions.

  • Standard [1]: Lets you hear the basic options, but not all of the available options.
  • Extended [2]: Lists in detail every available option.
  • Rapid [3]: Assumes you are familiar with the voice mail system; gives shorter and less explicit prompts but lists many options.

Date and Time

To change the date and time setting:

  1. Press [4] (Personal Options)
  2. Press [2] (Administrative Options)
  3. Press [4] (Date and Time)

You can turn on [1] or off [2] the option of hearing the date and time with each message that is left in your voice mailbox.
