Cellular Phone Rental Policy

Voice Processing Services owns a number of cellular phones that are loaned to University departments for short-term rentals. There is a $1.00 rental fee per day for borrowing a phone. In addition, the department is responsible for the cost of calls placed and received on the phone, and for replacing lost or damaged phones. The phones are offered on a first-come-first-served basis. Please mail or fax a completed form at your earliest convenience to ensure cellular phone availability.

Departments will be charged a $2.00 rental fee per day when a phone is returned late. Departments may call the Voice Processing Services Office at 545-4706 on or before the scheduled return date to request an extension. If there are no scheduling conflicts, the department will continue to be charged only $1.00 per day until the new scheduled return date. In the event that a phone is 30 days late ($60.00 in late fees), Voice Processing Services will suspend service on the phone and bill the department for a replacement phone.

The following procedures are used when a department borrows cellular phones from Voice Processing Services:

  1. Complete, print, and mail or fax a Cellular Phone Request Form to

  2. On the arranged date, have a representative from the department come to the Voice Processing Services Office located at 101 university Drive, Suite B1, to sign for and pick up the cellular phone(s).
  3. On the arranged date, have a representative from the department return the cellular phone(s) to the Voice Processing Services office.
  4. The daily rental/late fees and usage are billed separately. The total daily rental/late fees are calculated when the phone is returned. These fees will be reflected on the department's monthly Telecom bill as "Cell Phone Rental Fees", and/or if applicable, "Cell Phone Late Fees". Once the monthly cellular phone bill from Verizon or Cingular is received, usage charges will be processed to reimburse Voice Processing Services and will be reflected on the department's monthly Telecom bill as "Cell Phone Usage". A copy of the detailed bill from Verizon or Cingular will also be included with the monthly Telecom bill for verification purposes. Departments have 30 days to dispute charges and receive credit for charges billed in error.
