Voice Mail Help Instructions
Diversion to Voice Mail
Select YES if you would like callers to automatically reach the associated
voice mailbox after 4 rings or on a busy signal. Select NO if
you prefer voice mail to answer only when a follow-me to 5-1000 has been programmed
on the associated telephone number.
Fund ID
The 5-digit code that indicates whether the account is a state account or a
non-state account. Please note that Fund ID's that begin with the numeral 1
are state accounts and cannot be used for telecom billing expenses. If you are
unsure of the Fund ID for this speed type number, refer to your PeopleSoft training
materials or look it up on the following website http://itsc.umassmed.edu/crosswalk/.
From this website, enter the business unit UMAMH and the speed type number,
then click on "Get Data" -- the Fund Id will be displayed on the bottom
left-hand corner of the page.
Light Message Waiting Light Number On:
The message waiting light is the button on a phone that blinks red to indicate
that there are new messages in the voice mailbox. Usually, the telephone number
that the message waiting light flashes on is the same as the telephone number
that the voice mailbox is associated with; however, a mailbox associated with
an Additional Directory Number (ADN) requires special consideration. An ADN
is an extra telephone line that only exists as a button on a telephone (referred
to as the Original Directory Number or ODN). If a voice mailbox is associated
with an ADN, the message waiting light for this mailbox should be programmed
to light on the ODN (the telephone number found under the handset).
Mailbox Number
This is the last 5-digits of the telephone number you are installing/changing/deleting
voice mail on. If the voice mailbox is for a new telephone line and the number
has not been assigned yet by your Customer Service Representative, type "new".
Mailbox Name
This is the name associated with this voice mailbox. A voice mailbox is usually
associated with a person, but an office, lab, or room name may also be used
to identify the voice mailbox. If you are trying to change an existing mailbox
and you do not know the current name, type "unknown".
Mailbox Type
The mailbox type determines the features that are available to the user. To
compare available mailbox types, visit Voice Mail Descriptions
and Costs. New mailboxes: Mailbox types that are not listed
on the Voice Mail Service Form require special consideration and should
be requested by contacting Voice Processing Services at 577-4357. Changing
Mailbox Type: Certain mailbox type changes are not possible. if you
are trying to change the mailbox type for an existing mailbox and the desired
type is not listed, your request requires deleting and then creating a new mailbox.
(For example, you cannot change a Basic mailbox to a Listen Only Mailbox - instead,
complete the sections for deleting the current mailbox and complete the section
for adding the new type mailbox.)
Move Existing Mailbox
Fill in this item when an employee's existing voice mailbox will be associated
with a different telephone number. Type in the last 5-digits of the telephone
number you would like to move this mailbox to.
Reset Password
Check this action if the user has forgotten his/her password or if the voice
mailbox is being assigned to a new user and the previous user's password is
unknown.
Speed Type Number
The 6-digit account number to be billed for service and/or recurring monthly
charges.
Transfer Destination (Required
for Transfer Mailbox only)
Select whether you would like transferred calls to ring at a destination telephone
number first or be transferred directly to a destination voice mailbox number.
In the case of a Conditional Transfer, both transfer destinations must be voice
mailboxes.

Work confirmation/User Instructions
After processing a service request, the Voice Processing staff will mail or
email confirmation that the request has been completed along with any applicable
user instructions for setting up or changing a voice mailbox. Some T.U.G. Representatives
prefer to have this confirmation sent to them so they know when the order is
complete; otherwise, the confirmation can be sent directly to the user.
Zero Position/Hours Staffed
A zero position is an optional feature. This feature allows you to designate
a telephone number in your department as the "operator" (typically
a receptionist or secretary for the department). After a caller reaches the
voice mailbox greeting, they may press "0" to be transferred to the
programmed number. A schedule must be selected for the hours the zero position
will be staffed so that callers are only transferred to the zero position during
those hours.
